The Mining Association of BC represents the collective needs and interests of coal, metal, industrial mineral companies and smelters in British Columbia. MABC is the voice of mining in British Columbia.

Mining is an essential part of the provincial economy; public awareness and advocacy figure prominently in the activities of the association. We liaise with government legislators, business leaders, First Nations, and the broader community to advocate for and publicly promote the economic and social value of mining. We are tireless in our efforts to keep the interests of our members and the value of mining forefront in the minds of British Columbians.

As a result of our continued support to our membership, we are looking for a proactive and organized Office Administrator to join the MABC team.  Reporting to the President & CEO, the Office Administrator is responsible for providing administrative support to the MABC team in addition to ensuring the smooth running of MABC’s office.

The ideal candidate would be a strong self-starter with the ability to work independently while continuously coordinating and facilitating a variety of projects.

Responsibilities include (but are not limited to):

Executive Assistance

  • Proactively provides administrative support for the President & CEO and VP, Corporate Affairs including managing calendars, scheduling meetings and ensuring the coordination of any preparatory meeting documents

    • Participates in meetings with senior management to proactively identify and take on projects that require coordination and information gathering for decision making
  • Administrative Support and Coordination

    • Proactively provides administrative support to ensure the efficiency of the office and the MABC team
    • Coordinates travel bookings, participation in conferences/events, registrations, accommodation, shipping, swag, etc.
  • Coordinates in and out of office meetings and catering including BOD & AGM meetings and ensures events are managed within the allocated budget

    • Coordinates and/or supports MABC participation in events and conferences
    • Proactively formats and collates presentations and documents for meetings
    • Prepares for and participates in MABC organized meetings as requested
    • Takes meeting minutes and follows up on action items to conclusion
    • Follows up with contract timelines and deliverables
    • Coordinates all offices services including copier, mail machine, fax, office telephones, cell phones, parking, office building maintenance calls, boardroom bookings
    • Manages the reception area; greets and directs guests, coordinates couriers
    • Maintains the office and lunchroom overall presentation and tidiness
    • Responds to routine and complex email and telephone inquiries
    • Orders and maintains supplies including branded and promotional items
    • Liaises with external contractors to coordinate all technology requirements and resolve IT issues (phones, cell phones, computers, website, etc.)
    • Manages the subscriptions and renewals for print & online media tools
    • Other duties as required

Required Education, Knowledge, Skills and Abilities

  • Post-secondary education in business or related experience
  • 5+ years administrative experience
  • Administrative experience in the mining industry is an asset
  • Computer savvy; proficiency in Microsoft Office, internet research and website updating
  • A proactive self-starter
  • Ability to successfully work on and complete multiple projects at once
  • Demonstrated ability to effectively communicate in English; clearly express ideas in written and oral communications
  • Exceptional interpersonal and collaboration skills
  • Ability to analyze and present information in summary for decision making
  • Ability to exercise good judgment
  • Organized with the ability to prioritize workload and allocate time/resources accordingly
  • Demonstrated ability to work well independently and in a team setting; a strong self-starter work ethic/attitude.
  • Ability to adapt and thrive in a fast-paced, changing work environment.
